PROVIDENCE MANAGEMENT SERVICES PTE. LTD. is seeking a highly organized Administrative Assistant to support their company secretarial team at North Bridge Centre. This role is vital for maintaining corporate compliance for clients and offers unique flexibility, including Flexi-Hours and Employee’s Choice of Days Off.
Key Responsibilities
The role bridges administrative support with corporate governance and financial tasks:

Statutory Record Keeping: Maintain physical and digital statutory registers (e.g., Register of Members, Directors, and Controllers). You will organize corporate documents such as resolutions and minutes for ACRA lodgements.

Compliance Deadline Management: Proactively monitor critical deadlines for client Annual General Meetings (AGMs), financial year-ends, and Annual Returns. You will be responsible for sending reminders to clients to ensure they remain compliant.

Billing & Financial Support: Prepare and issue invoices for secretarial services and disbursements. You will also track accounts receivable and manage petty cash for office expenses and lodgement fees.

Meeting & Client Coordination: Schedule board meetings and prepare agendas. You will also manage client-related correspondence via email and phone.
Required Qualifications & Experience

Experience: Requires 2 years of experience in administration. Experience within a Singapore company secretarial or legal firm is a significant advantage.

Education: A-Levels or equivalent and above. Certifications in business administration or secretarial practice are a bonus.

Technical Skills: Proficient in Microsoft Office Suite and comfortable with digital filing systems.

Attributes: Exceptional attention to detail, strong time management skills, and the ability to maintain strict confidentiality.
Working Hours & Schedule
The position is available as Permanent, Full-Time, or Part-Time:

Full-Time Hours: Monday – Friday, 9:00 AM – 6:00 PM.

Salary & Benefits

Monthly Salary: $3,000 to $3,500.
